Description
The Assistant Project Specialist is responsible for interfacing with internal and external project leadership to ensure the successful execution of overall projects and associated milestones throughout the project lifecycle. This includes assisting with client communication, financial health and project scheduling systems for engineering-related projects. This position coordinates with internal project management to provide solutions in executing project needs within the budget and schedule. By organizing and driving team deliverables and communication, this position brings consistency to project execution through documentation, reporting, project planning, and detailed process implementation
Assist with analyzing and monitoring project health in the internal cost management system and assist in compiling report findings.
Assist with the maintenance of the budget tracking system and reporting project status.
Assist with entering project scheduling information.
Assist with monthly project analysis reports, and provide status updates on internal and external engineering client deliverables.
Assist with creating, editing, and evolving the project plans, process, timelines, and supporting documents and aligning project team partners throughout the process.
Assist with the set-up of projects in the applicable cost management system.
Assist with organizing and maintaining project files and client deliverables, and project communications.
Assist with providing updates for project execution plans and communication documents to the client, including assisting with internal project status meetings to keep project team members aligned on goals, determine actionable next steps, and actively problem-solve challenges.
Assist with processing project change orders and entering changes to the cost reports.
Assist the project team in identifying and addressing key issues impacting the timeline, cost, and design of a project.
Assist in calculating monthly diverse spend reporting and communicate both internally to the business and externally to the client.
Assist in the coordination of rate mapping documentation for classification-based contracts
Assist with quality assurance on data and information for the project's financial deliverables.
Assist with Work Breakdown Structure for tracking purchase orders and subcontract breakdowns.
Assist with data entry on projects, including processing project change orders, entering changes to the cost reports, and overseeing the accounts payable process, including the coding, approval assignment, and payment using the appropriate accounting applications.

Qualifications
Bachelor Degree in business, accounting or related degree Required or
Associate Degree and 2 years of experience Required
Experience with one or more cost management systems preferred.
Ability to work independently, think creatively and analytically, and make quick and sound decisions.
Excellent problem solving skills.
Excellent organizational skills, attention to detail, verbal and written communication skills and ability to handle multiple tasks.
Demonstrated ability to communicate with all levels within an organization.
Knowledge of Microsoft Word, Excel, Access, and PowerPoint is required
