Burns & McDonnell Facilities Department Assistant - Corporate Services (Kansas City) in Kansas City, Missouri

Description

The Facilities Department Assistant is responsible for providing general administrative and office support and project assistance onsite M-F in the Facilities Department at our World Headquarters located in Kansas City, Missouri. Duties include:

  • Work with specific software systems to manage Facilities & Maintenance repair requests, and purchase requisitions (Oracle MIS/ServiceNow)

  • Manage department invoice approvals (OnBase)

  • Manage annual service contracts with vendors (MIS/Excel)

  • Correspondence, reports, and other documents (Word/Excel/Teams/Outlook)

  • Prepare outgoing mailings and labels (Support RE/Neopost)

  • Coordinate services for vendor lunches, including set-up and clean-up

  • Administrative coordination (BlueMaps) Department expense reports as needed (Chrome River)

  • Coordination with Offices Services to support Corporate Events and meeting needs

  • Order and maintain department supplies (Oracle MIS)

  • Coordinate with Procurement on requisitions and POs (World Headquarters and Regional Offices)

  • Organize and maintain filing system, Year End Department document archiving

  • Field verification and investigation on furniture related service tickets

  • Collaborate with Facilities Coordinator on World Headquarter service ticket solutions as needed

  • Support Corporate Safety furniture related ergonomic evaluations and furniture-related accommodation requests (order/ship to Regional Offices for installation)

  • Arrange equipment maintenance appointments and schedule as needed to support Assistant Property Manager

  • Arrange janitorial service tickets as needed to support Assistant Property Manager

  • World Headquarter Room nameplate installation and updates as needed

  • Professional communication skills to handle internal clients requests via Microsoft TEAMS/phone/text/email

Additional duties as assigned by Managers and Project Managers to assist in the overall success of the group and company.

Qualifications

  • High School Diploma or equivalent.

  • Minimum two years office/clerical experience; Facilities experience preferred. 

  • Some college coursework preferred. 

  • Must be proficient in Microsoft Word, Excel, TEAMS, and familiarity with Power BI or other Microsoft office applications is necessary.

  • Excellent organization skills, attention to detail, communication skills and ability to handle multiple tasks.
