Burns & McDonnell has an exciting opportunity for a Project Coordinator in London, UK. The Project Coordinator will facilitate the financial aspects of engineering and construction projects by collaborating with the Project Manager and project team. This position coordinates both externally and internally with clients and project management in the execution of project administration and project management tasks.

  • Reporting to the London Directors but primarily supporting the work of the Engineering Manager, Senior Project Manager and other project managers.

  • Assist on slide deck/specification (project kick-off , weekly reporting)

  • Assist on client/internal meeting agendas/minutes/actions

  • Support in London office invoicing for non-project activities such as utility bills.

  • Assist project financial set-up and provide regular project financial reporting.

  • Support project invoicing through financial systems and working with the US finance team

  • Support in project expenses and report findings to the Project Manager.

  • Support the Project Manager in the preparation of client contracts and sub-contracts.

  • Assist in verifying accuracy and compliance with project requirements of bills/invoices, expense reports and process items in a timely manner.

  • Administer project closeout activities.

  • Assist the dissemination of information to vendors, suppliers, clients and project teams as part of the overall communications and project management process.

  • Prepare meeting notes and tracking of actions through the project lifecycle.

  • Support project deadlines and support presentation of monthly progress reports covering action items and progress updates.

  • Plan, coordinate and facilitate on-site and off-site meetings for projects.

  • Coordinate training records for project personnel in conjunction with the corporate training department and project requirements to ensure compliance.

  • Set up and maintain electronic and paper project files.

  • Perform all other duties as assigned.

  • Assist in office duties where required

  • Support in marketing material production

  • Assist in the upkeep of the London office resource tool

  • Support on office communication

  • Ad hoc support on document control

Qualifications

  • Degree in business administration or finance but other relevant field accepted.

  • Minimum of 5 years-experience in financial and project administration.

  • Advanced proficiency with financial systems and Microsoft Office applications, particularly Excel.

  • Excellent communication skills with the ability to apply intensive and diversified knowledge of principles and practices to a range of assignments.

  • Pro-active in driving project performance with a focus on profitability.

  • Ability to maintain strong focus to meet tight deadlines.

  • Attention to detail and excellent presentational skills in production of finance reports.

  • Ability to make an effective and collaborative contribution to the team through sharing knowledge, promoting ideas and valuing the contribution of all team members.
